Privacy policy
1. Who we are
P&B Perspective Ltd, trading as Handover Works, is the controller of the personal data described in this policy. Company number 11340172, registered in England and Wales. Registered office: 5 Jardine House Harrovian Business Village, Bessborough Road, Harrow, England, HA1 3EX.
Contact: hello@handoverworks.com.
2. Personal data in our customers' manuals
Our customers upload paperwork and publish manuals that may contain personal data, such as the names and contact details of people involved in a job. For that data the customer is the controller and we act as its processor. If you want to know what a manual holds about you, contact the business that published it.
3. What we collect and why
| Who | What we collect | Why | Lawful basis |
|---|---|---|---|
| Website visitors and people who open a manual | Technical data such as IP address, browser and device details, and the pages requested; usage information such as counts of views, ratings and searches | To provide, secure and improve the website, the app and manuals | Legitimate interests: running a secure and working service |
| People who contact us or ask for information | What you give us, such as your name, job title, work contact details, company and message | To reply and to take steps you ask for | Legitimate interests: answering business enquiries; or contract, where you ask for steps before one |
| Customers and their users | Name, work contact details, company, role, sign-in and activity records, and what you tell us in support | To provide the service and support, and to keep it secure | Contract; legitimate interests: securing the service and keeping business records |
| Paying customers | Plan, billing and payment records (our payment provider holds card details) | To take payment and keep financial records | Contract; legal obligation |
| Business contacts, including people we have not dealt with before | Name, job title, company, work contact details and information about your organisation | To contact you about Handover Works | Legitimate interests: promoting our services to businesses |
Where we rely on legitimate interests, we have weighed them against your interests and rights. Where we ask for your consent for something, you can withdraw it at any time.
If you use Handover Works, we need your account details to provide it. Otherwise you do not have to give us personal data.
4. Where we get it
Mostly from you, from your use of our website, the app and manuals, and from the customer whose workspace you use. For business contacts, we may also get details from public sources such as company websites and registers, professional networking sites, business data providers and people who refer you.
6. Outside the UK
Some recipients may process personal data outside the UK. Where they do, we rely on the UK's adequacy regulations or the safeguards data protection law provides, such as the ICO's international data transfer agreement or addendum. Ask us for details or a copy.
7. How long we keep it
We keep personal data only as long as we need it for the purposes above, and then delete it or make it anonymous. In particular:
- account details are kept while the workspace exists;
- an unused free workspace may be deleted after 60 days, after a warning email;
- published manuals stay online for 12 months after a paid or granted period ends, and are then deleted;
- billing and financial records are kept for as long as tax and company law requires;
- marketing objection records are kept for as long as we need them to respect your choice;
- backups are deleted as they expire.
8. Your rights
You have rights to ask for access to your personal data, to have it corrected or erased, to restrict how we use it, to have it given to you or another organisation in a machine-readable format, and to object to how we use it. Some rights apply only in some cases.
You can object at any time to our use of your personal data based on legitimate interests. You can also tell us at any time to stop sending you marketing, and we will. Every marketing email lets you opt out.
To use your rights, email hello@handoverworks.com. If your request is about a customer's manual, we pass it to that customer.
9. Complaints
To complain to us, email hello@handoverworks.com. You can also complain to the Information Commissioner's Office (ico.org.uk).
10. Changes
We may update this policy. The date at the top shows the current version.
